The real margin on a product, not the one on the shelf label

Stock management is already handled by the software you have. What it does not tell you is how much of a product's price is actually left after transport, returns and discounts, and it does not gather in one place what the same customer wrote to you on four channels. That is where we start, not with another stock list. Client in our portfolio: itiles.ro.

Who this page is for

Owner of a retail business

You sell in the shop, from the warehouse and online, with three different figures for the same product and the real margin known only at year end.

01The problem

What happens today, without a system

01

Three channels, three figures for the same product

One quantity in the shop, another in the warehouse, a third on the website. Something that no longer exists is sold online, something already promised is reserved in the shop, and the corrections are made by hand in the evening. The customer finds out last, and carries the delay.

02

Orders arrive on channels that do not talk to each other

Marketplace, own website, phone, email, a message on the page. Each channel has its own screen and its own person, and the same customer appears three times, as three different people. Whoever answers second does not know what the first one promised.

03

Returns get lost

Goods come back, go into stock and lose their past: which delivery they left on, why they came back, whether they can be resold. The cost of the return — transport, handling, the discount needed to resell — is deducted nowhere from the product's margin.

04

The real margin per product is unknown

You know the purchase price. Transport, handling, returns and the discount given to move the stock are not attached to the product but to a general expense line. That is how you end up pushing exactly the products you lose money on, because they sell well.

02What the platform does

The capabilities, written in your language

They are the same eight capabilities everywhere; only the names of the things they track change. Where there is a screenshot, it is from the real application, with real data.

  1. 01Centralised communication

    One customer, one thread

Correspondence is attached to the customer and to their order, whoever answered. Whoever picks it up tomorrow sees what was promised yesterday, including the discount given over the phone. Email today; WhatsApp is the next step, not something we promise you today.

The customer record gathers the orders, the deliveries, the returns, the invoices and the history of the conversation in one place.

  2. 02Preventive alerts

Stock asks for the order before the shelf empties

The reorder point is set per product and per location — shop, warehouse, goods held for online. Below it, the system proposes an order to the linked supplier, with the quantity worked out from consumption and from what is already reserved.

What is reserved on one order cannot be promised on another: available is a separate figure from total, held per product, per location and per lot.

  3. 03Real-time reporting

What is left, after transport, returns and discounts

Cost accumulates on the product as it happens: purchase, transport, handling, returns, discount. Margin is read per product, per category and per channel, over the range you choose — not once a year, when nobody is left to explain June's discount.

Stock is valued on FIFO, LIFO or FEFO, according to how you work, and the report breaks down by month and by the locations that consumed.

  4. 04Traceability of the work

    A return knows its delivery

Every movement of goods — entry, exit, transfer, return — is a record with an author, a reason and a location. The return is linked to the delivery it left on, so you know whether the goods can be resold, whether it is the third time with the same customer, and what it actually cost.

Lot and serial travel with the goods to the customer they were delivered to, which in a recall means an answer in seconds.

  5. 05Efficiency of your people

You know who is preparing which order

Orders are prepared from a list, with a scan on every line: the product and the location are confirmed, and what does not match does not go through. Time is measured per order, so you can say whether you need another person or a different route through the warehouse.

One screen shows who is working and for how long, who has a job assigned and has not started it, who is free.

  6. 06Lead qualification and follow-up

Wholesale enquiries stop getting lost in the inbox

A price enquiry from a large customer enters a pipeline with stages, with a person responsible and the next step written down. The quotation is composed from the catalogue, versioned and sent as a PDF, at a price that accounts for what is actually left for you.

The stages are configured around the way you sell, not around the way the software happened to ship.

  7. 07AI models on your own data

You ask in your own words, it answers from your own data

“Which products have a margin under five per cent once returns are counted” is a question with an answer, not a report you have to ask someone for. The assistant reads from your own database, not from a general model that guesses.

The same data drives the purchasing proposals: what has to be ordered in the next 90 days is a list, not a surprise.

03What does not apply

The capabilities that have no place here

We write them out. A platform that claims to do everything for everyone says nothing about anyone.

  • Machine and tool maintenance

Equipment maintenance has no place here. A shop and a retail warehouse have no fleet of machines with servicing recipes and due dates; the tills and the delivery van do not justify a module built for production lines. It is the most visible thing in the platform, which is exactly why it is worth saying that here it goes unused.

Published figures, not promises

These are results achieved by real customers and already published. The case studies carrying their names go out once they have validated them.
